Address Filings Before Move Day
Corporations and limited liability companies update the address on the Secretary of State's records by filing a Statement of Information, and the state's guidance is to file an updated statement any time information changes between the regular filing periods, not only when the annual or biennial statement comes due. Every corporation and LLC files one on a regular schedule anyway, and the filing is done online with the Secretary of State. Put this on the same checklist as the lease signing so the public record matches the new suite before the first client looks it up.
The City of San Diego treats a change of business location as a change to the Business Tax Certificate. The certificate holder is responsible for notifying the City Treasurer in writing of any change to the business location and submitting the $17.00 Zoning Use Clearance fee. Updates to an existing account can be made online, without a new application. San Diego Municipal Code section 31.0130 requires a separate certificate for each branch establishment within the City, so a company that keeps the old office open needs one for each.
Two state accounts also carry the address. A seller's permit holder can make changes through the CDTFA's online services, but a location address cannot simply be edited; the CDTFA's instruction is to add the new location first and then close the old one. Employers report a change of location or mailing address on their payroll tax account through the EDD's e-Services for Business. Neither filing depends on the movers, but both are easier to complete while the old lease is still active.
Old Monitors and Office E-Waste
California's Electronic Waste Recycling Act of 2003 set up the system that collects and recycles certain electronic wastes, and it defines a covered electronic device as a video display with a screen larger than four inches measured diagonally that DTSC identifies as hazardous waste when discarded. That definition takes in most of the monitors and laptops an office replaces during a relocation. CalRecycle publishes a directory of approved collectors and recyclers of covered electronic waste.
Within the City of San Diego, most electronic devices can be recycled at the Miramar Recycling Center at the entrance to the Miramar Landfill; the center's number for acceptable items and fees is 858-268-8971. Call before hauling a full office's worth, because acceptable items and fees are set by the center.
Sort surplus electronics before the on-site assessment, not on move day. Anything tagged for disposal should be separated from the equipment that is coming, so it is not wrapped, loaded, counted at the destination and then hauled back. The written quote covers the items on the inventory, and a dozen monitors that were supposed to be recycled add crew time to the job. If a department needs to wipe drives before old machines leave the building, schedule that work before the pack date so the recycling pickup and the move do not compete for the same loading dock.
Power and Mail at the New Suite
SDG&E handles a business move as a service request. Business customers log in to My Energy Center to schedule a move, stop or start request, and a business that has an SDG&E account but does not use My Energy Center can still submit the request online with the account number. Requests can be tracked or updated online after they are placed. Line up the stop date at the old suite and the start date at the new one with the move date on your written quote, so the crew is not reassembling workstations in a suite with no power.
The Postal Service accepts a change of address for a business that is changing locations either online or in person at a Post Office. Under standard forwarding, First-Class mail, periodicals, Priority Mail Express, Priority Mail and USPS Ground Advantage items are forwarded at no charge; and USPS publishes the lead time it needs on the same page. For a business with a PO Box or a business street address, Premium Forwarding Service Commercial forwards all mail in bulk to the new domestic business address by Priority Mail Express or Priority Mail on a daily, weekly or monthly schedule.
