Downtown is the most rule bound environment we work in, and almost none of the rules are about moving. They are about the building. A freight elevator has to be reserved, a certificate of insurance has to be on file with the right wording, the loading dock has a booked window, and most towers only allow moves outside business hours. A crew that turns up without those things arranged does not get a slow start, it gets turned away. So downtown work is mostly paperwork and scheduling, executed by people who have done it before.
The building rules decide the schedule, not the volume
Freight elevator reservation, dock window and after hours access are booked weeks ahead. The size of your office is almost secondary to when the tower will let you in.
Certificates of insurance need the exact wording
Additional insured, primary and non contributory, waiver of subrogation. Each management company words it differently and a certificate that is close but not right gets rejected at the desk.
Most tower moves happen at night or on a weekend
Business hours moves are rare downtown. Plan for a Friday evening through Sunday window and staff arriving Monday to a working floor.
Dock height and truck size are checked in advance
Some downtown docks will not take a full size truck, and some alleys will not either. That gets established at the survey, not on move night.
One freight elevator serves the whole building
You are sharing it with every other tenant and contractor. A reserved window is exactly as long as it says, which is why labeling and staging discipline matter so much here.

Weeks ahead. This is the long lead item on every downtown move and the one that most often derails a date.
Label to a destination plan
Every crate and workstation tagged to a position, because a reserved elevator window does not wait while someone works out where a desk goes.
Move in the window and walk it

Districts
Downtown is several districts that behave differently. The Columbia and Core financial towers are the strictest, with reserved freight elevators, filed certificates and enforced after hours windows, and they are also the best equipped, with proper docks. Little Italy mixes newer mid rise offices with converted stock, where alley access and street permits come into it more often. East Village runs newer construction near the ballpark with better loading provision but real event day traffic problems, and a move scheduled against a home game is a move that will not finish. The Gaslamp has the tightest streets and the oldest buildings, where a full size truck is frequently the wrong vehicle. Our downtown movers page covers the residential side of the same buildings. How a Downtown Commercial Move Is Billed
Local commercial moves downtown bill by the hour, at cash rates of $119 an hour for two movers, $169 for three, $219 for four and $269 for five, with a three-hour minimum, a flat $75 fuel fee once per move, and card payment at the cash rate plus $10 an hour. That is the same local rate card we use for residential work; there is no separate commercial tariff. The clock covers loading at the origin, the drive between the two buildings, and the rebuild and placement at the destination, which is why a move rebuilt to a labeled plan finishes on fewer billed hours.
On a downtown job the furniture is rarely what sets the hours. The distance from the dock to the freight elevator, the number of elevator trips a reserved window allows, and whether the truck can stand at the dock or has to shuttle from a larger vehicle parked elsewhere all change the crew size we recommend. The survey exists to settle those questions before the date is booked, so the crew size and the hour estimate you commit to reflect the two buildings you actually occupy rather than a square footage figure.
We never take a deposit and we never collect payment online, for a commercial move or any other. A confirmed booking holds the date, and the only pricing difference at the end of the job is the one already stated, cash or card. If your accounts payable process needs a written estimate, an invoice in a particular format, or a certificate of insurance issued in the exact wording your building requires, tell us at the survey so the paperwork is ready before the elevator window opens.
What to Have Ready for the Survey
Bring a floor plan of both suites, even a rough one, with the destination positions marked for workstations, private offices, storage and the server room. Add a count of the items that set the plan: panel workstations, private office desks, lateral files and how full they are, safes, conference tables, and any equipment on wheels. The destination plan is what every crate label points to, and it is far easier to draw it with us at the survey than to work it out on move night with a freight elevator reserved and a crew waiting.
Have the property management contact for each building and whatever move packet each one issues. We need the insurance wording, the freight elevator booking procedure, permitted hours, dock height and clearance, and the protection rules for lobbies, corridors and cab interiors. The two buildings will not match, and the stricter set of rules governs the schedule. If the origin building charges for after hours security or engineering coverage, that is a cost to your side that belongs in the plan alongside our hours.
Settle the IT sequence before the date is fixed. Tell us the cutover window, who is disconnecting and reconnecting equipment, and which items travel with our crew and which go with your IT team or a vendor. Racks, servers and network hardware are moved in the order you set, and the order matters more than the volume. If any records must travel under chain of custody, tell us at the survey so the crating, labeling and sign off steps are built into the plan rather than added on the night.
Verify the Carrier Before You Sign
Our California mover permit is CAL-T #201759, issued by the Bureau of Household Goods and Services, and our federal registration is US DOT #4372335. The legal entity behind both is Discount Moving and Storage LLC, doing business as Discount Movers, and the FMCSA SAFER record under that DOT number carries the same name. You can check the state permit through the BHGS license lookup and the federal record through the SAFER company snapshot.
When you review the record, compare the legal name on it with the name on the certificate of insurance your building receives. A tower's management office will hold the certificate against the entity that shows up on the dock, and a mismatch between a trade name on the certificate and a different legal name on the permit is the kind of detail that stalls approval in the week before the move. Ask us for the certificate in the entity name your building specifies, and we will issue it that way.
