Why Office Moves Slip,
And What Prevents It

Office moves rarely fail on moving day. They fail six weeks earlier, when nobody booked the freight elevator, or asked the new landlord what insurance wording they require, or found out that the IT cutover cannot happen on the weekend everyone assumed. The physical move is the most predictable part of the whole project. What needs the runway is everything that depends on somebody else saying yes. This is a realistic timeline for a San Diego office move, built around the items that actually have lead times.

The long lead items are never the trucks

Freight elevator reservations, building approvals, certificates of insurance and your own IT cutover window are what fix the date. Moving capacity is usually the easiest thing to find.

Both buildings have rules and they will differ

Your current landlord has exit requirements and your new one has access requirements. Collect both in writing early, because they contradict each other more often than you would think.

The IT sequence decides the weekend

Servers come down last and go up first. If your cutover cannot happen on a particular weekend, that is the constraint everything else bends around.

Decommissioning is a real scope item

Most commercial leases require the space returned to a stated condition. Read that clause at week twelve, not week one of the move.

Labeling is worth more than extra crew

A clear scheme tied to a destination plan saves more hours on the day than an extra pair of hands does.

Twelve Weeks
To Day One

Twelve weeks out

Confirm the new lease and the handover date. Read the exit clause on your current lease. Book a walkthrough with a mover so you have a real number rather than a placeholder in the budget.

Ten weeks out

Collect both buildings’ requirements in writing. Insurance wording, access hours, elevator reservation process, dock rules, protection requirements. This is the step people skip.

Eight weeks out

Agree the destination floor plan. Decide what furniture is coming and what is being replaced, because that changes the volume and sometimes the crew size.

Six weeks out

Reserve freight elevators and dock windows at both ends. File certificates of insurance. Fix the IT cutover window with your provider.

Four weeks out

Set the labeling scheme and tell staff what is expected of them. Order any new furniture with delivery timed to after the move, not before.

Two weeks out

Confirm every booking again. Brief staff on what to pack personally. Arrange building access for move day including out of hours contacts.

The week of

Purge before you pack. Every box of paper nobody will open again costs money to move twice, once out and once in.

The Five Things
That Derail Dates

A certificate with the wrong wording

Rejected at the desk on move night. Each management company words it differently, so get the exact requirement rather than sending a generic certificate.

An elevator booked for the wrong hours

A reserved window is exactly as long as it says. If your volume needs six hours and you booked four, the building will not extend it because you are behind.

New furniture arriving before the space is ready

It ends up stored at a cost, or worse, stacked in a space where trades are still working. Time deliveries to after the move.

Nobody owning the IT sequence

If your provider assumes you are handling it and you assume they are, staff arrive on Monday to desks that do not connect.

The old space left in the wrong condition

Lease exit clauses are specific and enforced. Find out at the start whether you are removing cabling, patching walls or restoring finishes.

What Is Different
Here

A few San Diego specifics are worth building into the plan. Downtown towers almost universally restrict moves to outside business hours, so your move is a Friday evening through Sunday whether you like it or not, and the good weekends book out first. Mission Valley buildings frequently put loading inside a parking structure with a clearance too low for a full size truck, which forces a shuttle and adds hours if it is discovered late. Sorrento Valley tenancies are often part lab and part office, and the two halves need sequencing together. East Village moves need checking against the ballpark schedule, because a home game will cost you a morning. How long does an office move actually take?+
The move itself is usually one weekend for a single floor. The project around it is eight to twelve weeks, and almost all of that is waiting on other people. Building approvals, elevator reservations and your IT cutover window are the long poles, not the trucks.
When should we tell staff?+
Early enough that they can pack their own desks without it becoming a crisis, and late enough that the date is firm. Four weeks out for the general briefing and two weeks out for specific instructions works well.
Do we need certificates of insurance for both buildings?+
Yes, and they will probably want different wording. Ask each management company for their exact requirement. We issue certificates the same day at no charge, but only a certificate matching their wording will be accepted.
Should we move the furniture or buy new?+
