Sequencing Problem
Almost every avoidable problem in an IT move comes from doing things in the wrong order. The rule is simple and it is the same everywhere. The core comes down last at the old site and goes up first at the new one, because everything else depends on it. Workstations move around that. Where it goes wrong is when the furniture crew and the IT provider are working to different plans, or when nobody agreed who is responsible for bringing services back up. The lifting is the easy part.
Last down, first up
Servers and network are the final thing disconnected at the old site and the first thing racked at the new one. Any other order leaves staff at desks that do not connect.
Photograph before you unplug
Front and back of every rack, plus port mapping. Labels get pulled off in transit. Photographs do not.
Agree who owns power up
Movers move and rack hardware. Bringing services back and testing them is your IT team or provider. Put that in writing before move day so nobody is waiting on the other.
Decide populated or stripped per rack
A lightly loaded rack on a good route can travel populated. A heavy one gets stripped and reracked. Weight, rack construction and the route decide it.
The cutover window is the real constraint
Everything else in the move schedules around when your services can be down. Fix that first, then plan backwards.

Survey and document
Racks photographed, ports mapped, weights checked, and the physical route surveyed including lift capacity and door widths.
Fix the cutover window
With your IT team or provider. When can services go down, and when must they be back.
Move workstations first
Desks, monitors and peripherals relocate ahead of the core, labeled by user so people find their own equipment.
Strip or prepare the racks
Depending on weight and route. Anything removed is labeled to its rack unit position.
Move and rerack the core
Last out, first in. Racked and cabled to the documented map as the first task at the destination.
Hand over for power up
Your team brings services back and tests. The hardware is in place and cabled before they start.

What Costs People
A Monday
Moving the core too early
If servers go first, everything after that happens with no network. It feels efficient and it is the most expensive sequencing error there is.
Relying on labels alone
Labels come off. Photographs of the front and back of every rack take five minutes and have saved more IT moves than any other single habit.
Nobody booked the provider
Your managed service provider needs to be available in the window. Booking them after the movers is backwards.
Assuming the new comms room is ready
Power, cooling and cabling at the destination need to be finished and tested before hardware arrives. Racking into an unfinished room means moving it twice.
Ignoring declared value
Standard cargo coverage on a household goods move is weight based, which is nowhere near the value of server hardware. Discuss this before the move, not after.
San Diego Specifics

Gets Harder
In San Diego the environment usually decides the difficulty more than the hardware does. Downtown towers mean a reserved freight elevator and a certificate of insurance, and if your cutover window and the building’s permitted move window do not overlap, the building wins. Sorrento Valley and Torrey Pines tenancies often have a comms room adjacent to lab space, so the IT move and the lab move need sequencing together. Kearny Mesa and Mission Valley multi tenant offices mostly have small comms rooms rather than proper data centers, which makes the job smaller but the room tighter.
