Moving a practice is a scheduling problem before it is a moving problem. Every day the chairs are down is a day of canceled appointments, so the plan is built around reopening rather than around loading. Operatories and exam rooms move first and land first, because they are what generates revenue. Reception and waiting areas go last and get set last, because they are what patients see on day one. The plan starts from your reopening date
We work backwards from the first appointment at the new address. That decides load order, crew size and whether the job runs after hours or across a weekend.
Clinical rooms first, front of house last
Exam rooms and operatories land and get set before anything else, so clinical staff can stock and test while reception is still on the truck.
Records move under chain of custody
Sealed, labeled and inventoried, kept on our truck with our own crew and never handed to a third party. A written chain of custody form is signed at pickup and again at delivery, and we will sign your practice’s business associate agreement before move day.
After hours and weekends are the norm
Most practices move Friday evening through Sunday. Building access, freight elevator time and the certificate of insurance get booked for those windows well in advance.
Equipment that needs a technician gets one
Anything requiring calibration, certification or a manufacturer authorized disconnect is booked with your service provider. We move it, we do not certify it.

Practice moves cluster around the county’s medical campuses. Hillcrest and Bankers Hill sit dense around the hospital corridor, where street parking is the constraint and a permit is often the difference between a smooth load and a long carry. Kearny Mesa and Mission Valley hold a lot of multi tenant medical office buildings with shared docks and strict after hours rules. La Jolla and UTC cluster around the research and hospital campuses in buildings that mostly have proper freight access. Chula Vista and East County carry a growing number of suburban practices in single story buildings with grade level doors, which is the fastest kind of practice move. Notices To File Before Move Day
A practice move changes the address on several licenses, and each one has its own clock. The Medical Board of California requires every licensee to report each change of address within 30 days of the change, submitted through the BreEZe system. That is a per-physician duty, not a per-practice one, so a group with six doctors has six filings. Put it on the practice manager's list next to the utility transfers and the signage order, because the crew's part is over on delivery day and the 30 days keep running.
Dentists have the same deadline from a different board. The Dental Board of California requires a change of address of record within 30 days under Business and Professions Code section 1651, and its form states that missing the deadline risks nonrenewal of the license. The change can be filed online at BreEZe or by mail.
Any prescriber who stocks or orders controlled substances also holds a DEA registration tied to a specific address. The DEA Diversion Control Division lets a practitioner modify a registration online at any time to change the business or mailing address, with no fee, and the change takes effect on DEA approval. File it as soon as the new address is set, so the registration is correct on the day the first patient is seen at the new suite.
X-Ray Registration And Medical Waste
X-ray units sit on a state register that names the facility and its address. The CDPH Radiologic Health Branch requires anyone who acquires a radiation machine to register it within 30 days under Title 17, California Code of Regulations section 30108. The same online registration portal has an Update Info option for reporting changed registrant or address details and any discrepancy in the machine inventory. That is the filing to make once the unit is installed and running at the new address, alongside the vendor's own paperwork for the reinstall.
A San Diego practice that generates sharps or other regulated waste is also on a county register. The county's Small Quantity Medical Waste Generator registration is tied to the location. For a change of business location or ownership the county directs generators to medicalwaste@sdcounty.ca.gov or the Hazardous Materials Duty Desk at (858) 505-6880. The new suite needs its own registration before the sharps containers fill up there.
The old suite gets a visit too. When a facility closes, the county's Hazardous Materials Division sends an inspector to the site. Regulated waste is not something a moving crew hauls. Schedule the final pickup with your registered waste hauler for the last clinical day, so the crew loads an empty utility room and the inspection finds nothing. Anything a mover would have to guess about, such as an unlabeled container under a sink, should be decided by the practice before the walkthrough.
Patient Notice And Records Custody
Patients need to hear about the move before it happens. The Medical Board's guidance says patients should be notified of changes in the medical practice, which it says is done by a letter from the physician explaining the change. A relocation letter with the new address, the last day at the old suite and the first day at the new one covers that, and it doubles as the reopening date the move schedule is built around.
Practice managers often ask whether the mover counts as a HIPAA business associate. HHS guidance on business associates says the Privacy Rule does not require a contract with organizations such as the US Postal Service and certain private couriers that act merely as conduits for protected health information, and that the conduit exception is limited to transmission services, including temporary storage, with only transient access.
